Office Administrator Job Description

We are seeking a detail-oriented and proactive Administrator to join our dynamic team in our New York City office. As the Administrator, you will play a crucial role in ensuring the smooth operation of our office environment, providing essential administrative support to various departments, and contributing to the overall efficiency and productivity of the organization.

Responsibilities:

  • Office Management: Oversee daily office operations, including managing supplies, equipment, and facilities to ensure a clean, organized, and professional work environment.
  • Administrative Support: Provide comprehensive administrative assistance to the management team, including calendar management, travel arrangements, expense reporting, and meeting coordination.
  • Correspondence: Manage incoming and outgoing communications, including emails, phone calls, and mail, and respond promptly and professionally to inquiries from clients, vendors, and internal stakeholders.
  • Document Management: Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality and compliance with company policies and procedures.
  • Event Coordination: Assist in planning and organizing company events, meetings, and conferences, including venue selection, catering, and logistical arrangements.
  • HR Support: Assist with various human resources functions, including recruitment, onboarding, and employee relations activities, as needed.
  • Special Projects: Support cross-functional projects and initiatives, collaborating with team members to achieve project objectives and deadlines.
  • Ad hoc Tasks: Perform additional tasks and responsibilities as assigned by management to support the overall success of the organization.

Qualifications:

  • Bachelor's degree in Business Administration, Communications, or related field preferred.
  • Proven experience in an administrative role, preferably in a fast-paced corporate environment.
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Strong attention to detail and accuracy in all work tasks.
  • Exceptional communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive and self-motivated with a positive attitude and willingness to learn and adapt in a dynamic work environment.
  • Previous experience in the advertising or marketing industry is a plus.
