Executive Assistant Job Description

Executive Assistant to support senior leadership in a fast-paced, high-performance environment. The ideal candidate is an excellent communicator with strong time-management skills and a proven ability to manage multiple priorities simultaneously while maintaining confidentiality and professionalism.

Key Responsibilities:

  • Manage complex executive calendars, scheduling internal and external meetings, events, and client engagements with precision and priority awareness.
  • Coordinate detailed domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Draft, format, and edit a variety of documents including correspondence, presentations, engagement and commitment letters, invoices, reports, and tracking sheets.
  • Serve as the primary liaison between the senior executive and internal staff, clients, and external partners—ensuring timely and professional communication.
  • Act as a gatekeeper for executive time, evaluating requests and flagging high-priority matters.
  • Process and track executive expenses, ensuring timely submission in compliance with company policies (experience with Concur is a plus).
  • Maintain and update CRM systems by entering contacts, tracking deals, creating call notes, and managing accurate pipeline and distribution lists.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Provide additional administrative support and special project assistance as required.

Qualifications & Skills:

  • 5+ years of executive administrative experience, preferably in financial services or professional services.
  • High level of proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with CRM platforms and expense systems (Concur preferred).
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Discreet, dependable, and proactive with a problem-solving mindset.
  • Ability to work both independently and collaboratively in a fast-moving environment.
