As a Sales & Events Coordinator, you will play a pivotal role in driving new business and executing private functions and special events with precision and professionalism. This position requires a dynamic and client-focused individual who can build strong relationships, create compelling event proposals, and manage event planning from initial inquiry through execution. You’ll collaborate with sales, operations, and service teams to ensure each event delivers a seamless, memorable guest experience.
Key Responsibilities:
- Client Engagement & Business Development
- Attend industry functions, networking events, and community outreach opportunities to represent the hotel and generate new business leads.
- Identify and cultivate prospective clients through outreach, follow-ups, and professional relationship-building.
- Guide clients through the planning process including site tours, tastings, and key meetings.
- Create and present tailored proposals, event packages, and sample menus aligned with client goals and preferences.
- Draft and manage contracts, event orders (BEOs), invoices, and distribute event materials (e.g. floor plans) to relevant departments in a timely and accurate manner.
- Lead planning meetings and ensure that all event details are clearly communicated across departments.
- Serve as the main point of contact for clients during booked events.
- Personally greet clients upon arrival and facilitate introductions to the event lead or service staff.
- Ensure seamless event flow, address issues in real-time, and oversee event completion and client satisfaction.
- Work closely with the operations, catering, and service teams to ensure successful execution of all event details.
- Communicate updates, changes, and special requests promptly and clearly to all involved departments.
- Manage post-event billing and ensure accurate financial reconciliation within the event management system.
Qualifications & Requirements:
- Degree or certification in Hospitality, Event Management, Marketing, or a related field required.
- Minimum of 3 years of experience in sales, event coordination, or high-volume catering environments.
- Experience designing and executing upscale events including menu planning and décor coordination.
Skills & Competencies:
- Exceptional customer service and interpersonal skills.
- Strong organizational skills and attention to detail in a fast-paced environment.
- Ability to manage multiple priorities, lead by example, and adapt to last-minute changes.
- Proficiency in Microsoft Office Suite and event management systems; experience with Delphi is a plus.
- Creative flair and a vision for upscale event experiences.
- Knowledge of labor management and control systems is an asset.
