Office Administrator Job Description

Under the general direction of the Head of Human Resources, the Office Administrator will provide oversight for daily activities which includes administrative assistance, front desk receptionist duties along with being integral in providing support for all corporate activities

 

Responsibilities:

  • Manage all front desk/reception activities, including but not limited to answering the main phone, greeting, and processing visitors accordingly, and maintaining a visitor sign-in log
  • Assist with scheduling meetings for all departments including setup, catering, coordination and support for accommodations when needed
  • Assist with the management and monitoring of field-based credentialing vendors
  • Sorts and distributes all incoming mail and packages
  • Provide facilities management by ordering kitchen supplies and ensuring that stock of regularly used items are maintained
  • Responsible for handling vendors and maintaining office supplies
  • Communicate as needed with landlord regarding office maintenance issues
  • Ensure cleanliness of kitchenettes, run/empty dishwashers as needed, and cleaning refrigerators on a quarterly basis
  • Coordinates office services and maintenance (copiers, postage and building maintenance issues)
  • Forward any safety-related telephone calls and ensure backup is assigned during planned absences
  • Provide day-to-day administrative support to all departments
  • Support with staffing activities related to the organization by scheduling interviews and coordinating onboarding and exiting activities
  • Maintain appropriate interpersonal relationships with employees, peers, internal and external customers
  • Other administrative tasks as assigned

Qualifications:

  • Previous administrative experience, answering phones and processing visitors
  • Proficient with MS-Office Suite with an emphasis on MS-Word, Excel, and PowerPoint), SharePoint or another file repository
  • Ability to effectively work independently and interdependently
  • Demonstrated ability to communicate clearly and concisely, orally and in writing across all business levels
  • Attention to detail with proven organizational skills
  • Must have the ability to manage daily task, project related work and be flexible enough to manage any additionally assigned task according to business needs
