Office Administrator Job Description

Key Responsibilities:

  • Prepare, write, edit, and format professional documents in Word, PowerPoint, and Excel
  • Analyze spreadsheet data and create charts, reports, and visual presentations
  • Maintain physical and digital files, order office supplies, and organize internal documents
  • Greet visitors and provide administrative support for meetings and interviews
  • Support branch manager and senior leadership with clerical and scheduling tasks
  • Provide exceptional customer service and respond to inquiries in a timely and professional manner
  • Assist in resolving customer concerns or escalating issues when necessary
  • Maintain business relationships with vendors, customers, and internal teams
  • Monitor and manage office supply inventory
  • Ensure proper phone coverage, imaging processes, and overall office cleanliness and safety
  • Conduct emergency drills and maintain updated emergency contact rosters
  • Coordinate office services such as cleaning, carpet maintenance, and postage funding
  • Assist Branch Manager with daily cash handling, deposits, batching, and invoice processing
  • Maintain accurate records of customer credits, RMA processing, and petty cash reconciliation
  • Support collections and communicate with Accounts Receivable on payments and account updates
  • Manage credit authorizations and ensure compliance with financial procedures
  • Utilize internal systems for data entry, queue management, call logging, and batching
  • Operate office equipment such as computers, scanners, photocopiers, and video conferencing tools
  • Maintain minimum keyboarding speed of 40 WPM

Qualifications:

  • High School diploma or GED equivalent
  • At least 1 year of experience in office administration or branch operations
  • Intermediate proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Solid aptitude for math, numerical analysis, and basic financial tasks
  • Strong organizational and time-management skills

Preferred Qualifications:

  • 3+ years of administrative experience
  • Advanced Excel skills including graph/chart creation and data visualization
  • Prior experience supporting office or branch operations in a fast-paced setting
