Job description
Leading distributor of Textiles needs a talented and energetic office administrator for the office in Secaucus, NJ. The Individual will be responsible for managing day-to-day tasks in the office that includes working on QuickBooks, MS Excel and MS-OFFICE, receiving phone calls from customers and helping them, creating orders, packing slips, follow ups with customers and daily customer service. This individual must be punctual and should be DETAILED ORIENTED. Must be a quick learner and must be tech savvy.
DUTIES:
- Responsible for all the administrative processes within the Office, especially accounting & shipping/returns.
- Speaking to customers daily and providing them information related to their orders, product information, taking messages and calling them back for all inquiries.
- Downloading daily orders from website and maintaining daily inventory.
- Prepare packing list, invoices for billing our customers and keep track of payments.
- Maintain Invoice and Bank book daily.
- Prepare shipping documentation and other related paperwork.
- Quote pricing to customers over the phone and processing credit card.
- Following standardized company procedures relating to all aspects of Office performance.
BASIC QUALIFICATION:
- The candidate must be a highly motivated self-starter who is able to perform duties with minimal supervision.
- Must be a team player and ability to interact with all levels of customer and company personnel.
- Excellent verbal and written communication skills. Should be able to US customers in English fluently.
- Strong organizational and time management skills.
- Proficiency in MS Office is required – MS-WORD, MS-EXCEL, MS-POWERPOINT. Knowledge of operating standard office equipment. Ability to multi-task in a high-paced.
- Experience in working in similar background preferred.
- Experience in QuickBooks is desirable.
Schedule:
- Monday to Friday
- 9.30 AM to 2.30 PM
- Email responses preferred.
- Work Visa Required. Citizen preferred.
