Perform material purchasing functions in support of Sales Operations Department
Update pricing model for changes in costs in support of the Sales Operations Department
As time is available, assist Sales Operations Department with writing assignments (e.g. press releases, proposals, website updates, etc.).
Assist CEO in drafting corporate policies and procedures
Help ensure compliance with policies (e.g. IT backups, Expense Reports, Purchase Orders, HR, etc.)
Serve as the Human Resources liaison working with Paychex documented HR policies and Corporate documented policies.
Make travel arrangements for staff as necessary
Maintain office supplies
Help maintain low costs through securing multiple bids on services and supplies
Answer public inquiries and direct to appropriate individual (e.g. phone, email, mail, etc.)
Assist the CEO with quarterly board package and documentation of minutes. Bi-weekly payables processing
Bi-weekly payroll processing via Paychex
Weekly Job profitability and comparison reporting
Month-end close, bank reconciliations and reporting
Co-Manage Purchase Order function across all departments
Expense Report auditing and approval
Maintain corporate records (e.g. HR, insurance, registrations, memberships, taxes,etc.)
Monthly sales/use tax reporting and filing. 5+ years experience in bookkeeping
3+ years experience as an office manager
3+ years experience in utilizing QuickBooks
Proficient in Word, Excel and PowerPoint,
Strong written and verbal communication skills
Strong organizational and reporting skills
Comfort and flexibility in performing multiple tasks and duties
Experience in helping manage IT a plus
