Administrative Assistant Job Description

The Administrative Assistant performs administrative duties for the branch such as scheduling appointments, following up with clients, copying, scanning, processing mail, ensuring that office supplies are ordered, and faxing. In addition this role may assist Branch Managers with ensuring files are complete with all required paperwork and answer the branch telephone. Top 3 Must Haves to be an Administrative Assistant: 1. Strong oral and written communication skills 2. Exceptional organizational skills and the ability to multi-task successfully 3. Reliable and trustworthy Top 3 Responsibilities: 1. Assist Branch Manager with projects and reports 2. Keep Office neat , orderly and presentable for visitors 3. Perform all administrative tasks for prospect file-set up Essential Job Functions: Specific tasks will include, but are not limited to, the following: • Create correspondence, forms, reports, memos, and other documents. • Contact borrower and other sources in order to obtain items for borrower’s file. • Manage CRM and LO/BM Database. • Upload loan applications from the website into Encompass. • Verify and examine information and accuracy of loan application. • Coordinate appointments. • Assist office personnel with administrative functions such as faxing, scanning, processing mail, emailing, and ordering supplies. • Contact clients to follow up on missing items. • Ensure that files and items are completed in the correct location. • May proofread reports, lists, and other information for accuracy. • Assists the mangers with various research projects and/or special projects. • Contact clients to follow up on missing items. • Act as receptionist or backup for answering branch phone as needed. • Coordinates departments meetings and calendars. • Completes filing and other administrative tasks. • Additional tasks as assigned.
