Administrative Assistant Job Description

Job description

We operate in a fast-paced environment, requiring candidates to work with a high level of proficiency. The ideal candidate will possess outstanding attention to detail, the capability to gather, analyze, and evaluate information critically, and the aptitude to make effective decisions to resolve complex issues.

Responsibilities

Answer, screen, and forward incoming phone calls to the appropriate destination
Greet clients upon arrival and connect them with the appropriate party
Schedule meetings and appointments for Managers
Receive and sort mail and deliveries
Monitor visitor access and maintain security awareness
Provide general administrative and clerical support
Maintain reception area, breakroom, and relevant supplies
Prepare correspondence and documents
Scan paperwork into the document management system

Qualifications

Previous experience in Administrative Assistance, Executive Administrative Assistance, and Clerical roles
Associate's degree in Business Administration or related field is preferred
Excellent phone etiquette and communication skills, both verbal and written
Strong attention to detail, organizational skills, and multitasking abilities
Ability to work under pressure in a fast-paced environment and prioritize tasks effectively
Adaptability and team-oriented mindset
High level of confidentiality and personal integrity
Proactive and resourceful problem-solving approach
Professional appearance
Proficiency in Microsoft Office
