Administrative Assistant Job Description

 Key Responsibilities:

  • Answer phones, manage mail, scan/organize files, and maintain internal documentation
  • Coordinate office supply inventory, PPE ordering, travel logistics, and shipping
  • Serve as a point-of-contact for internal communication and administrative needs
  • Assist with preparing documents, reports, and client proposals
  • Support document formatting, project folders, and digital file organization
  • Maintain licenses and certifications
  • Track insurance documentation and request COIs
  • Maintain vehicle registration and licensing records
  • Track timekeeping records and assist in collecting subcontractor compliance documents
  • Assist with onboarding and offboarding processes
  • Track employee training, credentials, and HR documentation
  • Support employee engagement, recognition, and file maintenance
  • Handle sensitive information with discretion and integrity

Additional Duties:

  • Coordinate scheduling, supplies, and reporting for field teams
  • Help organize internal events (e.g., birthdays, holidays)
  • Serve as a backup for other administrative roles as needed
  • Perform additional duties as assigned by management

Qualifications:

  • High school diploma or GED required; Associate’s degree preferred
  • 2–5 years of administrative, accounting, or HR support experience
  • Proficiency in Microsoft Office (Excel, Word, Outlook); QuickBooks a plus
  • Experience with timekeeping, cost control, or energy/construction industries is a plus
  • Excellent organization, time management, and written communication skills
  • Ability to multitask in a fast-paced environment and maintain confidentiality
  • Valid driver’s license and reliable transportation
  • Work Environment & Physical Requirements:
  • Must be able to sit for extended periods and lift up to 15 lbs
  • Local travel and errands required as part of operational support
