The Administrative Assistant to Early Learning is responsible for providing comprehensive admin support to the VP of Early Learning and contributing effective operations of the Early Childhood Services department's office and in accordance with Kidango's facilities and safety plans. The responsibilities include but are not limited to scheduling; reviewing, prioritizing, and responding to emails and department inquiries; answering and returning phone calls; creating letters, documents, spreadsheets; organizing all meeting logistics gathering information or notes and feedback at meetings; arranging travel arrangements and any other administrative tasks that help the VP of Early Learning perform work.
What You'll Be Doing:
- Provide administrative support to the VP of Early Learning.
- Assist with the management and organization of the VP's correspondence, including emails, letters, and other communications.
- Coordinate and schedule meetings, manage calendars, and assist with the preparation of materials including agendas, resources, and presentations.
- Maintain and organize electronic and physical files and records related to Kidango's Early Learning program.
- Coordinate and communicate information between the VP of Early Learning and Kidango staff, partners, management, and stakeholders.
- Provide support for Early Learning initiatives, projects, and events including event planning.
- Collaborate with the VP to ensure the efficient and effective operation of the Early Learning department.
- Provide customer service and support to Kidango's Early Learning staff, families, and community partners as needed.
- Support the development and maintenance of Early Learning program policies, procedures, and documentation.
- Help with the collection, analysis, and reporting of data related to Kidango's Early Learning programs and initiatives.
- Attend meetings and take and compile meeting minutes; log and track action items .
- Perform any other duties as assigned.
Preferred qualifications:
- Minimum of AA degree or equivalent two years clerical office support.
- Previous experience in data entry.
- Strong written and oral communications skills with the ability to proofread and spell accurately.
- Able to organize and maintain records effectively and efficiently.
- Proficient In Microsoft Office, specifically Word, Excel, Internet and PowerPoint.
- Ability to work effectively and efficiently using a positive approach with a diversity of people.
- Ability to demonstrate diplomacy and professionalism in working with all levels of staff and the public.
- Must be flexible to work schedule and work locations as needed.
- Bilingual in English and Spanish desired.
Additional Requirements:
- Must pass a health screening and TB test
- Must pass background fingerprint clearance
- Valid Driver License
- Must be 18 years or older
- The ability to lift up to 30lbs may be needed during some job duties
