Job Summary:
Fuelway is seeking a detail-oriented and proactive Office Assistant to provide administrative support and ensure the smooth operation of the office. The ideal candidate will be a highly organized individual with strong communication skills and the ability to handle a variety of tasks in a fast-paced environment. This position is an integral part of the Fuelway team, providing essential support to office operations and contributing to the company's continued success.
Key Responsibilities:
Answer and direct phone calls, emails, and inquiries to the appropriate departments.
Maintain office filing system, both digital and physical, ensuring documents are accurately stored and easily accessible.
Handle routine office tasks such as ordering supplies, scheduling meetings, and coordinating office activities.
Assist with the preparation of reports, presentations, and other administrative documents.
Coordinate and schedule appointments, meetings, and conference calls for team members.
Support the Office Manager with day-to-day administrative tasks, including managing calendars and assisting with office operations.
Handle incoming and outgoing mail and deliveries.
Perform data entry and maintain accurate records in company databases.
Ensure that office equipment is functional, and coordinate maintenance and repairs as needed.
Help prepare materials for company events, meetings, and presentations.
Assist with bookkeeping tasks, such as tracking expenses and submitting invoices for processing.
Maintain a clean and organized office environment.
Support the Human Resources department with administrative tasks, including onboarding new employees and managing employee records.
Qualifications:
High school diploma or equivalent; associate's degree or some college education is a plus.
Previous experience in an office assistant, administrative, or customer service role is preferred.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to work independently and as part of a team.
Basic knowledge of office equipment (e.g., copiers, fax machines, etc.).
Strong problem-solving skills and a proactive approach to work.
Familiarity with fuel industry operations or logistics is a plus but not required.
Work Environment:
Office setting with regular office hours.
Occasional evening or weekend work may be required based on company
