Duties and Responsibilities:
• Accept, register, and process payments for events, contributions, membership, etc., enter data into Salesforce
• Generate letters/tributes and maintain donor and registration records
• Support Communications and Development Departments by providing database management support, generating lists and sending communications as requested
• Serve as receptionist to greet visitors, answer and direct calls, take messages and provide general resources in a welcoming and friendly manner
• Follow up on questions regarding membership, gifts, events, programs, etc.
• Update and distribute office records, such as Board Portfolio, Staff Directory, etc.
• Purchase, organize, inventory and maintain general office supplies
• Serve as the liaison for all property management personnel and matters
• Serve as a liaison for in-office events hospitality
• Establish and maintain the calendar for all NCJW/Essex events, meeting dates, conference rooms, staff schedules, etc.
• Oversee clerical support volunteers
• Collect and maintain Life Cycles Listing and submit for publication as appropriate
• Oversee the organization and cleanliness of the office, including all office common areas and storage closets
• Maintain, organize and update the NCJW/Essex Q-Drive
• Disseminate all correspondence including mail, emails, eblasts and newsletters to the appropriate audience
• Special projects and other duties as assigned by the Executive Director
• Provide support to the NCJW/Essex Board, members and other staff members as appropriate
• Follow all NCJW/Essex policy and procedures
• Professionally represent NCJW/Essex in the community
Qualifications:
• 4-year degree preferred; however, relevant work experience will be considered
• 3 years’ experience in general office management, nonprofit environment preferred
• 3 years’ experience with Salesforce or related CRM required
• Outgoing and welcoming personality
• Strong organizational and time management skills, including flexibility to handle multiple projects and frequent interruptions
• Strong problem-solving skills and analytical ability
• Ability to take on new challenges and find solutions
• Strong oral and written communication skills
• Computer, internet and technology proficient
• Proven ability to work in a team environment
• Energetic, creative and self-motivated
• Supervise interns as appropriate
• Experience working with volunteers
• Strong commitment to and passion for the mission of NCJW/Essex
