The Senior Bookkeeper is responsible for recording agency business transactions as well as assist in the processing employee payroll in the absence of Senior Accountant. In consultation with the CFO and the Senior Accountant, assists in the creation and maintenance of the Coalition’s financial records, the processing of invoices and other financial reports, data and journal entries, credit card expense reports, and a range of clerical functions.
Qualifications:
- BA/BS in accounting, finance, business administration or related discipline required.
- At least one to five years of related non-profit office management, finance, accounting, or contract management experience required.
- Experience with FundEZ or similar nonprofit accounting software and proficiency with a spreadsheet program, MS Excel required.
- Applicant must be detail-oriented, analytical, responsible and self-motivated, and able to multi-task.
The Senior Bookkeeper shall:
- Be responsible for all accounts-payable recording, including recording verification and posting of invoices, ensuring correct expense coding, voucher preparation, and timely check issuance and recording;
- Prepare allocation spreadsheet of all fringe benefit invoices according to payroll and FTE allocations;
- Record invoices for fringe benefits based on payroll allocations assigned to PAF’s into FEZ;
- Reconcile payroll and all government mandated bank statements;
- Manage the monthly Emburse/Certify credit card expense reporting;
- Take the lead in implementing the new Emburse/Certify invoice processing system;
- Perform various journal entries, account reconciliations, and provide General Ledger support, using the Coalition’s finance and accounting software;
- Serve as a backup in the preparation of payroll processing in the absence of Senior Accountant;
- Assist in the year-end preparation of schedules and analysis for annual audit;
- Disburse, track, and record petty cash and MTA MetroCard/token transactions;
- Obtain regular (no less than weekly) supervision with the Chief Financial Officer or designee;
- As requested, participate in weekly staff and other meetings, such as in-service training and staff development and orientation activities;
- Assist in the design and implementation of program and service enhancements;
- Perform all other duties as may be assigned by the Chief Financial Officer or designee.
