Purpose For The Position:
Under general supervision, provides administrative support requiring initiative and sound judgement. Duties will include: 1) maintaining department accounts, compiling information and analyzing data, and preparing reports; 2) coordinating activities of a department project or program; 3) coordinating department computing and software resources, including web activities; 4) preparing and processing correspondence, agendas, general papers, manuscripts, and/or publication materials; 5) preparing purchasing and timekeeping information.
Responsibilities:
- Establishes and maintains filing systems, ensuring accuracy and completeness
- Maintains records and logs of activities
- Keyboards internal correspondence (letters & memoranda), tables, charts, reports and other material
- Composes correspondence and written material
- Formats, keyboards, edits and proofreads external correspondence, manuscripts, grants, reports, contracts and other material
- Assembles attachments and corresponding material
- Reviews outgoing material for completeness, attachments, dates and signatures
- Exhibits polite and professional communication
- Answers and screens telephone calls
- Takes messages, responds to requests for information and provides assistance
- Greets visitors and refers to appropriate individual
- Searches records and files for readily identified information
- Uses a computer terminal to input and retrieve data
- Merges and manipulates data to generate complex reports
- Gathers, compiles and records statistical data and information
- Creates reports and summarizes findings
- Posts and codes information on standard forms
- Opens, sorts and distributes mail referring to appropriate individuals
- Provides routine information related to operations
