The ideal person for the Executive Assistant job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. They will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will be able to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle various activities and confidential matters with discretion. Will primarily be the President’s Executive Assistant but up to 25% of time will be allocated to the Chief Scientific Officer (CSO) primarily for assisting CSO with management of their calendar and meetings.
Responsibilities:
- Perform a broad variety of administrative tasks for the President/CEO & CSO including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; managing calendars, itineraries, and agendas; and compiling documents for travel-related meetings.
- Provide a bridge for smooth communication between the President's office and internal departments: demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
- Taking dictation and minutes during meetings and writing them up subsequently
- Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, and following up appropriately
- Complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature.
- Prioritize conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion.
- Complete other duties as assigned
Qualifications/Skills:
- BA/BS degree or equivalent required.
- 5+ years of experience supporting Executives, preferably in a non-profit organization
- Excellent written and verbal communication skills
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Proficiency in Microsoft Office and other office productivity tools, with the aptitude to learn new software and systems
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
