Order Coordinator Job Description
Job Summary
ADF USA is seeking a proactive, detail-oriented Order Coordinator to manage daily order
processing, documentation workflows in a 3PL environment. Manage internal coordination
between the office, sales, warehouse and delivery teams. This role is essential in ensuring order
accuracy, timely invoicing and excellent customer experience.
Key Responsibilities
Sales Order Processing
- Review and verify sales orders for pricing, product availability, and quantity accuracy.
- Print and distribute picking tickets to the warehouse.
- Coordinate pick-up and delivery schedules with fulfillment teams.
- Track fulfillment progress and reconcile scanned/picked inventory against original orders.
- Resolve order discrepancies prior to final invoicing in NetSuite.
- Ensure orders are dispatched in a timely manner.
Invoicing & Documentation
- Generate and distribute accurate invoices for outgoing shipments.
- Collect completed invoices and delivery confirmations from drivers.
- Maintain organized filing (both physical and digital) for all delivery documents and customer interactions.
Returns & Customer Credits
- Inspect and validate returned goods.
- Process credit memos and ensure prompt and accurate data entry in NetSuite.
Customer Interaction
- Assist with walk-in pickups and customer inquiries.
- Provide professional support to customers with order or invoice concerns.
Administrative & System Support
- Enter and maintain customer and transaction data in NetSuite.
- Support sales and operations with ad hoc reporting, vendor communications, and basic logistics coordination.
Qualifications
- Associate’s degree in Business, Supply Chain or a related field preferred, but will consider 3+ years of hands on experience in lieu of formal education
- 2+ years experience in sales operations, logistics and ERP-based order management(NetSuite highly preferred).
- Highly proficient with Google Workspace and Microsoft 365
- Excellent attention to detail, time management and an ability to prioritize tasks in order of urgency and importance Demonstrates a strong commitment to customer satisfaction and service excellence
- Bilingual (English/Hindi) required
