Job Type: Part-Time (9:00 AM – 3:00 PM), 30 hours per week

About the Role
We are looking for a proactive and detail-oriented Operations Associate to join our team in Jersey City, NJ. This role supports financial operations, vendor coordination, tenant communications, and legal matters related to property management. You’ll work closely with internal departments and contribute to both day-to-day tasks and long-term improvements in our operations.

Key Responsibilities
Financial Operations
• Manage and monitor accounts receivable processes
• Track and follow up on payment due delinquencies
• Perform regular bank reconciliations and assist with audit preparations
• Generate financial reports including P&L, rent rolls, reconciliations, and AR summaries
• Clean and organize raw data for system improvements and reporting
• Conduct financial analysis to support strategic decisions
• Experience with Yardi software is a plus
Rental Operations & Legal Compliance
• Support legal processes related to tenant disputes, non-payment, or eviction cases
• Coordinate with attorneys and represent company interests in legal matters
• Occasional travel to property sites may be required
Vendor & Agency Management
• Coordinate with vendors (e.g., pest control, appliances) for regular maintenance and repair
• Work with city agencies, DCA, housing authorities, and Section 8 programs
Tenant Engagement & Support
• Respond to tenant inquiries and concerns in a timely, professional manner
• Support initiatives to improve tenant experience and retention
Cross-Functional Collaboration
• Work closely with internal teams such as marketing, accounting, and management to align on business goals and reporting needs
System Implementation & Data Support
• Assist in preparing and organizing data for ERP or system implementation
• Support testing and training efforts related to new tools and platforms

Requirements
Education:
• Bachelor’s or Master’s degree in Finance, Accounting, Business Administration, or a related field
Experience:
• 2–3 years of experience in finance, operations, or property management
• Familiarity with real estate processes, rent collection, and vendor coordination
• Experience with Section 8 housing, DCA, or other housing authorities (preferred)
Technical Skills:
• Proficient in Microsoft Excel (including VLOOKUPs, pivot tables, data formatting)
• Experience with ERP/accounting systems (preferred)
• Experience with Yardi is a plus
Soft Skills:
• Strong communication and interpersonal skills
• Ability to multitask and prioritize in a dynamic work environment
• Excellent organizational skills and attention to detail
• Collaborative mindset to work across teams
