Staff Accountant Job Description

Responsibilities:

  • The requirements listed below are representative of the knowledge, skill, and/or abilities required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Other duties may be assigned.
  • Recommends and implements financial administration and control policies, procedures, systems, budgets and other financial control functions to the Director of Finance & Facilities.
  • Assists the Director with compliance and management of contracts with counties and funding bodies, including related reporting and oversight of restricted spending.
  • Assists in providing timely monthly and annual financial statements and related analysis for the Director for both organizations.
  • Ensures that all bank accounts are reconciled on a monthly basis. Also ensures that the restricted and unrestricted bank accounts are supported with proper documentation.
  • Reviews accruals and all pertinent financial matters that impact program budgets.
  • Assists the Director of Finance and Facilities in the development of budgets, reporting, and short- and long-term strategic fiscal planning.
  • Reconciles and processes vendors’ invoices in MIP, and accurately maintains all A/P files.
  • Reviews billing or payment issues with vendors and ensures that discrepancies are resolved in a timely manner.
  • Classifies, records, and summarizes financial data to compile and maintain Accounting records, using journals, ledgers, and related records on MIP accounting software.
  • Debits, credits, and reconciles accounts on spreadsheets, databases, or using MIP and Excel accounting software.
  • Using payroll software, processes bi-weekly payroll and runs related reporting including pay registers, paid time off summaries, or similar reports.
  • Reviews time sheets, wage computations, and related information to reconcile and record payroll discrepancies, increases or other adjustments.
  • Records changes of employee information, such as benefit deductions, garnishments, tax exemptions, local tax and address change data, transfers, and terminations.
  • Manages petty cash including inventory and distribution of monetary and in-kind donations.
  • Serves as back-up to the Billing Specialist.
  • Collaborates with HR as needed on the administration of employees’ payroll records.

Qualifications:

  • Accounting/Finance related Bachelors degree and at least two years of demonstrated accounting experience required, notably payroll and accounts payable.
  • Prior experience in non-profit accounting and experience in the human services industry strongly preferred. Must possess excellent interpersonal skills, communication skills and be able to work independently and in conjunction with others. Strong working knowledge of common accounting software required, with some knowledge of MIP preferred.
  • Prior experience with completing payroll required.
  • Use Paycom or similar web-based payroll systems preferred.
  • Must possess excellent PC skills in Excel and common MS Office applications; experience with Office 365 a plus.
  • Must possess a valid PA driver’s license with an insurable driving record. Act 33, 34 and FBI clearances required.
