Office Manager Job Description

We are on the lookout for a bold, values-driven Office Manager ready to restore and elevate performance, bring energy to the room, oversee both clinic locations, and set the gold standard for team excellence.

Key Responsibilities:

  • Lead and supervise staff across multiple clinic and med spa locations
  • Conduct daily huddles, weekly one-on-ones, and monthly team meetings
  • Oversee hiring, onboarding, and training of new team members
  • Foster a high-performing, values-driven team culture
  • Manage daily workflows, schedules, and client service delivery
  • Ensure compliance with all standard operating procedures (SOPs)
  • Handle timecard reviews, appointment confirmations, and service flow
  • Address operational issues and maintain smooth day-to-day operations
  • Monitor daily sales, review financial performance, and track KPIs
  • Approve payroll, audit invoices, and oversee expense reporting
  • Maintain vendor accounts and support monthly and quarterly reporting
  • Contribute to annual revenue growth goals of 25–50%
  • Assist with the setup and launch of new clinic locations
  • Implement new services and support training of new site managers
  • Coordinate cross-location initiatives and ensure consistency in operations
  • Collaborate with marketing on content planning and campaign support
  • Monitor and respond to online reviews
  • Track inventory levels across all locations and reorder as needed
  • Audit vendor accounts and ensure supply chain efficiency
  • Maintain accurate records of product usage and ordering patterns
  • Respond to internal communications within 24 hours
  • Use appropriate channels (Slack or text) for urgent issues
  • Maintain confidentiality, professionalism, and high ethical standards

Requirements:

  • Minimum 2 years of experience in office, clinic, or practice management
  • Multi-location management or healthcare/wellness industry experience preferred
  • Strong leadership and team-building skills
  • Excellent organizational, time management, and problem-solving abilities
  • Proficient in financial tracking, KPI reporting, and payroll systems
  • Comfortable managing cross-functional teams and adapting quickly
  • Technical Proficiency (Preferred but Not Required)
