Office Administrator Job Description

We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, organizational, and communication skills, with experience in office management, bookkeeping, and vendor relations. This role offers an opportunity to contribute to a dynamic work environment, ensuring smooth administrative functions across various departments including medical office management, event planning, and team coordination.

Duties:

  • Manage calendar schedules, appointments, and meetings to ensure efficient time utilization.
  • Coordinate and oversee event planning activities for company functions and client engagements.
  • Supervise administrative staff and support team management initiatives.
  • Handle vendor management, including procurement and maintaining professional relationships.
  • Oversee payroll processing, bookkeeping, budgeting, and financial recordkeeping using QuickBooks or similar software.
  • Maintain accurate filing systems, both physical and digital, ensuring confidentiality and easy retrieval of documents.
  • Manage front desk operations including multi-line phone systems, greeting visitors, and phone etiquette.
  • Support human resources functions such as onboarding new employees, training & development programs, and employee records management.
  • Assist with office supply inventory control and general clerical tasks to support daily operations.
  • Ensure compliance with office policies and procedures while fostering a professional work environment.

Skills:

  • Proven experience in office administration or office management roles.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent communication skills—both verbal and written.
  • Proficiency in QuickBooks, calendar management tools, and Microsoft Office Suite.
  • Experience in event planning, vendor management, human resources, payroll processing, budgeting, bookkeeping, and medical office management is preferred.
  • Supervising experience with team management capabilities.
  • Familiarity with front desk operations, multi-line phone systems, filing systems, and phone etiquette.
  • Ability to handle confidential information discreetly and professionally.
